Creating swag with licensed vendors

Main content start

Promotional items (or Swag) can be created by various university departments and units incorporating the Stanford brand. Contact Trademark Licensing with questions about approved vendors, product specs, etc. All use of Stanford marks on licensed merchandise must follow brand guidelines as outlined in Stanford’s logo art sheet.

If you’re part of the Stanford community with SUNet ID and need a refresher about the promotional item ordering process, please watch, Communications CoP: Demystifying the promotional item ordering process that shares an overview of the licensing process, how to work with licensed vendors, and best practices to get your artwork and project approved.

Overview of licensing process: Artwork submission to Vendor production

Recommended lead time:

  • 5-10 business days: artwork review by Trademark Licensing
  • 2-10 weeks (average production times): TBD by vendor
  • 3-5 days shipping in U.S. Longer lead time if produced shipped from overseas.

Step 1: Stanford unit places order with a licensed vendor and provides the artwork.

Step 2: Licensed vendor uploads artwork and required information in the licensing system

Step 3: Trademark Licensing (5-10 business days) reviews. Additional review may be required if product needs revising (for instance because of design or product color).

Note: Trademark Licensing usually works with designated unit Brand Manager for approval.

Step 4: Once artwork is approved, vendor begins production. Production timelines include time for vendors to source, manufacture and/or imprint chosen product. If item(s) needs to be mailed or shipped, please allow additional time to be delivered.
